Biamp Workplace Subscriptions FAQ

Available in September 2026, Workplace Subscriptions is a new way to manage Biamp Workplace licenses — available directly in Workplace Admin. Instead of tracking individual licenses with separate expiry dates, a Subscription groups all your licenses together under one renewal date, one payment method, and one place to manage everything.

 

What happens with my existing Monitor & Manage Plus license?

Nothing — it will continue working until it expires. To renew it and maintain uninterrupted access to premium Monitor & Manage features, create a Subscription in Workplace Admin and add a new Monitor & Manage Plus license for your device(s). Do this before the expiry date to avoid any gap in service.

 

What happens when my Monitor & Manage Plus license expires?

It will downgrade to Standard and the premium features will no longer be available. You can still see online status and update firmware.

 

What happens with my existing Booking license?

Nothing — it will continue working until it expires. To renew it, create a Subscription and add a new Booking license for your locations before the expiry date to avoid any gap in service.

 

You previously included a free 1-year Monitor & Manage Plus license with device purchases. Will that continue, and how will it work?

Yes. Any new device — or a device added to Biamp Workplace for the first time — will receive a free 1-year Monitor & Manage Plus license. The tier matches the device: Red tier devices receive a Red tier Monitor & Manage Plus license, and White tier devices receive a White tier Monitor & Manage Plus license. To avoid a gap in premium Monitor & Manage service, add the license to an existing Subscription or create a new one and enroll it to activate a renewal term.

 

I have many free Monitor & Manage Plus licenses with different expiry dates. Will they all align to the same renewal date when added to a Subscription?

Yes. Licenses added to or enrolled in a Subscription will be aligned to the Subscription's renewal date. Licenses with remaining time beyond the renewal date are prorated; shorter-term licenses are extended to match.

 

Can I still buy 1-year, 3-year, and 5-year licenses?

Yes. When you create a Subscription, you set the renewal term. Choosing yearly gives you 1-year licenses, every third year gives you 3-year licenses, and so on.

 

Do all licenses need to have the same renewal term?

Yes. All licenses within the same Subscription share the same renewal term.

 

Can I have different types of licenses in one Subscription?

Yes. You can freely mix license types within a single Subscription. They will, however, all share the same renewal term.

 

Can I add a license to a Subscription mid-cycle?

Yes, you can add licenses at any time. You will only pay for the remaining months in the current cycle up to the renewal date. If you have chosen a term longer than 1 year, you will also pay for the remainder of that term. For example, with a 3-year renewal term and a new license added 6 months in, you would pay for 2 years and 6 months at the time of purchase.

 

Can I cancel a license at any time?

Yes. A canceled license will remain active and usable until the Subscription's renewal date. At renewal, it will not be renewed and the associated service will be disabled or downgraded. No refunds are offered on canceled licenses.

 

Is there a perpetual license option for Monitor & Manage Plus?

Yes. Monitor & Manage Plus is also available as a Perpetual License — a one-time payment that covers the product for its lifetime. The license is non-transferable and tied to the specific device it was purchased for. Perpetual is priced equivalent to 10 years of subscription cost, making it a good fit for customers who prefer to avoid recurring fees or want to bundle the cost into a contract upfront.

 

What payment methods are accepted?

Subscriptions can be paid by invoice or credit card.

 

I just purchased licenses. How do I start using them?

Once you have created a Subscription and purchased licenses, go to your organization in Workplace Admin and assign each license to the right resource — Booking licenses are assigned to a location, and Monitor & Manage Plus licenses are assigned to a device. As soon as a license is assigned, the features it covers become active for that device or location. That's it — no deployment or transfer needed.

 

I only buy and sell licenses as an integrator or reseller. How does this work for me?

You manage everything through Workplace Admin. Register your user account and create or join your organization. Once your organization is set up, you can create Subscriptions and purchase licenses. You have two options for giving customers access:

  • Deploy — assign the Subscription to your customer's Workplace organization while keeping full control. You can manage, renew, or revoke access at any time. Best when you're managing their AV system or selling a service contract.
  • Transfer — permanently hand over full ownership of the Subscription to the customer. Use this when the customer wants to manage their own billing and renewals going forward.

You can have any number of Subscriptions deployed to any number of customers.

 

What is the difference between deploying and transferring a Subscription?

Deploy lets you assign a Subscription to a customer's organization while keeping full ownership and control. You can renew, add licenses, or revoke access at any time. The customer can use the licenses but cannot manage the Subscription itself.

Transfer permanently moves ownership to the customer. Once transferred, you lose all visibility into the Subscription and cannot reverse it. The customer takes over billing, renewals, and support. If you want to maintain any level of control, use Deploy instead.

 

I am currently using the License Manager. Can I continue to use it?

No. The License Manager will be retired when Workplace Subscriptions become available in Workplace Admin. We will ensure that your existing inventory and licenses can be used and/or migrated to the new workflow before the License Manager is closed.
