1 - Requirements for Kleeo Integration in Zoom Workspace
The following are required for integrating Kleeo devices with Zoom Workspace.
Zoom user and Zoom Account requirements
The administrator performing this process must have a Zoom user identity. That Zoom user identity is email address-based and is associated with a "Zoom Account". The Zoom user identity must have the following:
- The Zoom user must have Owner or Admin rights assigned in the Zoom Account
- Zoom Workspace Reservation must be enabled for the Zoom Account (Enterprise plan, trial plan, or feature enablement).
- "Workspaces Management" will be visible in the Zoom Web portal for Zoom users with Owner or Admin rights.
Zoom Workspace licenses
There must be one Zoom Workplace license available for each reservable desk. The licenses counter can be viewed in Workspaces Management under Workspaces.
Biamp Workplace licenses are not required for this integration as device monitoring, management, and booking functions are handled through Zoom Workspaces.
Defined buildings, floors, desks, and assigned calendars in Workspaces Management
Before starting this integration process, buildings, floors, and desks must be defined in Zoom Workspaces Management.
- Each floor must have a floor map
- Each desk must be placed on a floor map
- Each desk must have a Zoom Calendar assigned to it
A desk without a floor map placement or without a calendar cannot be reserved or booked using a Kleeo.
A Biamp Workplace account and organization
Zoom Workspace will be integrated with a Biamp Workplace organization. This is done to connect the Zoom workspace to the Kleeo desk booking devices and enable Zoom management of them. An organization is the top-level unit of system management in Biamp Workplace, populated with locations such as buildings and floors and the devices assigned to those locations.
Biamp Workplace account
The Zoom administrator performing this process will need a free Biamp Workplace account.
- The account must be set up prior to starting the integration between Zoom Workspace Reservation and Biamp Workplace.
- An account can be created at: Biamp Workplace.
Biamp Workplace organization
An organization can be created during the integration procedure or created beforehand. Regardless of which option is used, the Zoom administrator must have Owner or Administrator rights in the Biamp Workplace organization that the Zoom Management locations are being imported to.
- Owner rights: Creating a Biamp Workplace organization automatically assigns Owner rights to the user who created it.
- Owner or admin rights: If using an existing Biamp Workplace organization, the Zoom administrator must have Owner or Administrator rights assigned to them in that organization in order to perform the integration.
- Reminder - Zoom locations are automatically imported: Both new and existing Biamp Workplace organizations will be automatically populated with floors and desk locations imported from Zoom Workspace Management during the integration process.
- Do not use the "My Workplace" organization for this integration: It will not work. Your "My Workplace" organization cannot be shared or used by other Biamp Workplace users or integrated with Zoom Workspaces.
Onsite Wi-Fi network with internet access
Internet access via Wi-Fi must be available at each physical desk location in order to integrate the Kleeo devices.
- Kleeo devices only connect to the internet using Wi-Fi. No Ethernet port option is available due to the small size of the devices.
- The SSID and the network password will be entered during the provisioning phase of the process.
NFC-capable cellphone with the Biamp Workplace Booking mobile app
Discovering and connecting Kleeo devices is performed onsite using the Biamp Workplace Booking mobile app running on an NFC-capable cell phone.
- The administrator must be signed into the app and select the Biamp Workplace organization that is mirroring the imported Zoom Workspaces Management floors and desks.
- The NFC-capable phone is touched to the Kleeo while performing the discovery and connection provisioning procedure on the app.
