Kleeo End-User Experience in Zoom

This article covers what the users will see and do once the system is live. It can be used for planning rollout communication and for validating the deployment from the user point of view.

  • Bookings, users, and desks are managed entirely in Zoom.
  • The users will interface with the desk-booking system through the Zoom app and workflows.
  • The integration of Kleeo devices makes physical desks bookable within the Zoom system.

Desk states and LED colors

The illuminated LED border on Kleeo devices makes the desk status readily visible in offices and other workspaces.

LED Color State Kleeo Display Content
● Green The desk is available and can be booked. Desk name, “Scan QR code to book”, and the QR code.
● Yellow The desk is booked and waiting for check-in. The upcoming booking; the QR code can be scanned to check in.
● Red The desk is in use. “Scan QR code to end” and, where permitted by the privacy settings, the name of the person using the desk.
● Blue The desk is in Focus mode. The display shows that the desk is in Focus mode, indicating that the user does not want to be disturbed.

Screen display interactions

The built-in presence sensor wakes the display when someone approaches the desk. Swipe left or right on the display to move between the available screens. Touch interaction is available at any time.

Booking options for users

The system provides a remote reservation and an on-site walk-up option for users for booking a desk.

Reservation

In the Zoom app, under Workspaces, the user selects the floor map. Then click a desk to reserve it or use the "+ Reserve" button to choose the desk and time. Once the desk is reserved, a confirmation is shown, and the Kleeo on that desk reflects the booking.

Walk-up booking

Users with the Zoom mobile app can book and check into a Kleeo-managed desk in person. Scan the QR code on the display of an available Kleeo using a phone's camera app or in the Zoom mobile app. The link opens in Zoom; the desk is automatically reserved and checked in.

Kleeo displays and indicators while the desk is in use

Once a user has checked in, the desk shows as busy throughout the system.

  • On the floor map in the Zoom app
  • On the Kleeo
    • The LED turns red
    • The display screen shows “Scan QR code to end”

These indicators allow colleagues to see at a glance that the desk is taken, and by whom (where the display of names is enabled by the administrator).

Checking out

The user can check out early using the Zoom app.

  • Scan the QR code on the Kleeo.
  • Zoom will ask for confirmation.
  • Tapping "Check out" releases the desk immediately.
  • The Kleeo indicator turns green, the desk shows as available on the Zoom Workspace map and in the app.

Checking out by scanning the QR code using a phone photo app, then confirming in the Zoom app.
