Evoko Workplace Migration FAQ

Provides answers to common questions about the 2024 Evoko Workplace server migration.

 

Are there any new features in Workplace 2.0 that are not available in 1.0?

Yes. There are many new features available after migrating to Workplace 2.0. Additionally, all future releases and features will only be available in Workplace 2.0. 

The key improvements are:

  • Live room and desk status on floor plans

Questions about migration support resources

Who do I contact with questions or to receive help in the migration process?

Is there a step-by-step guide available for completing the migration process?

Yes. You can find information at this link.

 

How long does the typical migration process take?

The time required depends on the number of devices and users on the platform. After configuring Workplace 2.0 and linking your calendars, it will take around 3-5 minutes to update and reconnect each Naso device, and about 1-5 minutes for each Kleeo device. Additionally, Evoko Workplace app users must reregister in Workplace 2.0 before they can start making bookings in the new system. 

 

What kind of downtime, if any, should be expected during the migration process?

The only downtime you will experience is during the hardware updates. However, please note that users of the Evoko Workplace app will need to reregister in Workplace 2.0 before they can start booking in the new system.  

 

Can the migration be done in phases, or does it need to be completed all at once?

Biamp recommends the following steps for migrating:

  1. Migrate from 1.0 to 2.0 
  2. Connect your Microsoft tenant to the Workplace 2.0
  3. Upgrade and connect your devices 
  4. Invite the users to register at Workplace 2.0

 

How much of the migration plan can I expect to do by myself?

Biamp is here to help. Contact us at evoko-workplace-migration@biamp.com to begin the process.  Please Note: If you choose to create a new Workplace 2.0 account and enroll all your existing panels you will need Biamp to reallocate existing licenses. 

 

Is onsite Biamp help available to assist with the migration?

No onsite assistance should be needed to complete the migration. However, we understand that things can happen. If you need assistance, contact Biamp at evoko-workplace-migration@biamp.com to work out a plan.   

 

I plan to perform the migration during the weekend, is support available? 

Biamp technical support is available 24 hours a day during the work week. However, we do not provide support on weekends. 

 

 

 

 

Technical requirements and changes 

Do I need onsite access to the devices to migrate? 

Yes, you will need onsite access to the device to complete the migration.  

  • For the Naso Room Manager, you need to access the Admin UI and start the upgrade process and the Workplace Mobile App to re-connect the device to the Workplace 2.0 backend.  
  • For the Kleeo Desk Manager, you will need the Workplace Mobile app to reconnect the device to the Workplace 2.0 backend. 

 

What happens to integrations with other systems, like calendars, during a migration? 

Your integrations will remain unaffected until you manually disconnect Workplace 1.0. Once the migration is complete and the connection to Workplace 2.0 is confirmed, the calendar integration to Workplace 1.0 should be broken to avoid potential conflicts and errors. Please reach out to evoko-workplace-migration@biamp.com for assistance with breaking the integration to 1.0 once 2.0 is up and running.  

 

Are there any differences between the Naso Classic and the New Evoko Naso? 

All features and functions are the same between the products except for the following items:   

These Naso classic features are not yet available in the new Naso, but they will be implemented in future updates. 

  • PIN identification.
  • Room Booker identity on the Naso display. This information is currently available in the mobile app.  
  • The ability to selectively remove the Book Now, End Booking, Extend Booking, and Check In buttons.  

The following features have been modified in the new Naso panels.   

  • Booking a meeting beyond the current day. 
    • The room scheduling panel has been updated to focus on same-day reservations only.
    • All future bookings (beyond the current day) are now exclusively available through the mobile app and the room calendar.  
  • The ability to find another room in the event of a booking conflict has been moved to the mobile app. This allows a more detailed view of the suggested replacement room’s offerings and offers a map view to guide the user to the physical location.    
  • The full-day meeting view has been moved from the primary display screen and moved to a secondary screen.   

 

Are there any differences between a Kleeo connected to Workplace 1.0 and 2.0? 

Not on the device itself, but you will get access to the new improved Workplace 2.0 app flow. This will ensure access to all future improvements on the device, app, and cloud side. 

 

Can I downgrade an Evoko Naso back to an Evoko Naso Classic? 

No, an upgraded device cannot be downgraded to the Evoko Naso Classic firmware.

 

 

 

Licensing

Will Evoko Workplace 1.0 continue to work, or is there an EOL on it? 

Evoko Workplace 1.0 will continue to work as expected while customers transition to 2.0. After that, the platform will be shut down.

 

Can customers stay on Evoko Workplace 1.0 forever?

No, all customers will be migrated to 2.0 by the end of the first half of 2025.

 

Is it still possible to buy new licenses for Evoko Workplace 1.0?

Yes, it will be possible to buy a 1-year extension license for the time being. However, new features will only be introduced to Workplace 2.0, so, we recommend everyone migrate as soon as possible. All purchased licenses can be transferred into Workplace 2.0.

 

I have licenses active in Workplace 1.0. What happens to them?

Those licenses will be moved over to 2.0 automatically if you authorize a Biamp-led migration. If you have moved from Workplace 1.0 to Workplace 2.0 without Biamp’s involvement, you can reach out to Biamp Support to get new license keys for Workplace 2.0 for the same quantity and duration that you have in Workplace 1.0.

 

When I purchased my Naso device it came with a 5-year hosting license included. Will that license be intact after this migration?

All Naso devices bought with the included 5-year hosting license will have that license transferred and converted to a room license/booking plus license for the remaining months.

 

Are there any costs associated with migrating from Workplace 1.0 to 2.0?

No, any active licenses will be transferred over to Workplace 2.0 with no extra charge for upgrading the hardware.

 

How does the licensing model differ between Workplace 1.0 and 2.0?

  • The Room License will be replaced by the Workplace Bookings Plus license.
  • The Desk License will be replaced with the Workplace Bookings License.

There will be no changes to the features and functions.

Can the new Workplace Booking and Booking Plus licenses be obtained for 3 or 5 years? 

No, only 1-year licenses are available.  

 

 

 

Data management and security

Will user data and settings be preserved during a migration? 

During the Biamp-led migrations, all settings and location data will be transferred from Workplace 1.0 to Workplace 2.0. There won't be any automatic deletion of data from Workplace 1.0. If you want your data removed from Workplace 1.0 after the migration, please contact us. All data will be erased when Workplace 1.0 is shut down by mid-2025. User data will not be transferred during a Biamp-led Migration; therefore, users must be invited and registered in the new Workplace 2.0 organization.

 

What happens to my data in Workplace 1.0 after a migration?   

The data will be transferred from Biamp’s Azure for Workplace 1.0 to our US West instance for Workplace 2.0. Data won't be automatically deleted from Workplace 1.0. Please contact us if you want it removed after migration. All data from Workplace 1.0 will be deleted when it closes by mid-2025.

 

What happens to historical booking data during a migration?

All Room booking data resides in the Microsoft tenant and will not be affected. Desk bookings will not be migrated over, and any future booking will need to be entered again manually post-migration.   

 

Does Workplace 2.0 handle multi-site or global deployments differently than 1.0? 

No, both versions of the platform handle these deployments in the same manner.

 

 

 

User experience and training

How do migrations affect end-users? Will they need to be retrained?

While there are changes to the UI for the new Evoko Naso device, the changes are intuitive. No training should be required. There is also a new flow in the Mobile app where a user can both find available spaces and make a meeting invitation directly in the app. More information and short videos of the user flows in the mobile app can be found here

 

What kind of onboarding or training resources are available for Workplace 2.0?

Will my users be affected by the migration?

  1. Users currently using the Evoko app must update to the latest version.
  2. They must then be invited to and registered in the Workplace 2.0 organization.
  3. After that, they should log out of the Evoko app and choose Biamp Workplace when logging back in.

 

I am using QR codes for some bookings, will migration affect me?

Yes, you will need to print a new QR code for each location.

 

 

 

Testing and verification

Is it possible to test Workplace 2.0 before fully migrating?

Yes, it is possible. After the initial data migration has been completed, Biamp recommends connecting a single device to ensure everything is functional. Other devices will continue to function in Workplace 1.0 while this initial test is run.
